Office Manager / Client Service Associate

- 1+ year experience in the financial services, insurance, accounting, or legal industry.
- Knowledge of basic financial planning concepts.
- Prefer to work in an office environment.
- Experience with CRM platform (Salesforce, Redtail).
- Experience with e-signature software (DocuSign, Adobe Sign).
- Experience with major custodial platforms (Schwab, TD Ameritrade, Fidelity).
- Experience with insurance applications and/or the underwriting processes.
- Experience with financial and wealth management systems (Orion, eMoney).
Office Manager Responsibilities
- Coordinate and send gifts to clients on behalf of the company, including managing marketing inventory.
- Organize team social events and coordinate logistics.
- Arrange meals for team events as needed.
- Perform data entry and assist with software database cleanup.
- Send quarterly invoices to clients and track payments.
- Manage mailing of forms and documents to clients.
- Manage incoming and outgoing mail.
- Handle office supply orders and maintain inventory.
- Answer incoming calls and direct them appropriately.
Client Service Associate Responsibilities
- Utilize our CRM system and established processes to onboard new households efficiently.
- Prepare and send paperwork to clients for electronic signature.
- Send invoices, agreements, and other documents to clients as required.
- Answer client inquiries and assist with solving their problems.
- Execute financial transactions accurately and in a timely manner.
- Update client information and maintain client records in our CRM system.
- Attend and participate in team meetings, as scheduled.
- Build positive relationships with clients and team members.
